With the development of China's economic construction and social progress, people's understanding of archives is also deepening and improving. In particular, the importance of file utilization is becoming more and more obvious. As archivists, we should change our ideas and create conditions for more effective use of archives.

First, make clear the service direction of archives.

The service of archival work is mainly reflected in the utilization work. To make good use of archival work, we must first make clear the service direction. With the rapid development of social economy, the direction of archives utilization is further clarified, and the sociality of archives is gradually reflected and placed in a prominent position. Archives utilization is a service work with users as the service object. To do a good job of utilization, we must establish a correct service concept and have a high sense of responsibility. Due to the enhanced awareness of file utilization, the file utilization rate of our library has also been greatly improved. On average, there are nearly 1 1,000 people who consult the archives every year, with more than 4,000 volumes (pieces). Especially when recruiting overseas personnel and units, the authenticity of academic qualifications is increasingly valued. Recruited personnel are generally required to provide school grades and university admission books. So now more and more people consult printing graduation scores and admission books. Last year, according to the relevant policy documents of Inner Mongolia Autonomous Region, "May 7th Workers" were included in the basic old-age insurance of enterprises. As long as they meet the status of "May 7th Workers", they can apply for basic old-age insurance for enterprises and receive pensions. According to the document requirements, May 7th Workers must provide the original supporting materials, including the labor contract, employee employment approval form, employee roster, salary payment form and other documents. There are more than 30 old people in our school who have worked in May 7th Staff University. They come to our library in the hope of finding materials to prove their identity in the school. Due to historical reasons, there are few and chaotic files in the early years. After nearly a week, the staff of our library patiently and carefully read a large number of files to help them find the needed information and solve the substantive problems for them. Before the 60th anniversary of the founding of the school last year, our library played a great role, providing the Organizing Committee with the approval documents of previous leaders, old photos of the school and professional settings over the years, and also providing the names and photos of previous graduates for the colleges to make alumni address books. Therefore, practice has proved that the use of archives is the fundamental purpose of archives work, and we must do a good job in the use of archives to meet the needs of the new era and truly play the role of archives.

Second, strengthen the basic business of archives.

The basic work of archives is the premise of archives utilization. Only by doing a good job in basic work can we better carry out archives utilization and meet the needs of all sectors of society. The basic business of archives includes understanding and familiarizing with the content and composition of information stored in archives (rooms), various archives retrieval tools and methods of use, and the main ways of using archives include providing original archives. For example, file users can check the original files they need in the archives (rooms), and according to the needs of their work, file users can temporarily lend the original files to the library (rooms) for use. The year before last, we concentrated our efforts on systematically sorting out the archives in our collection, with rules to follow and records to check, which greatly improved the efficiency of archives utilization.

Three, to carry out a variety of services, fully mobilize the enthusiasm of file users.

Nowadays, the information industry is developing rapidly. First of all, we should take various forms to publicize and expand the sociality of archival work. Publicize the nature and status of archives (rooms), the contents of archives, the benefits of archives, etc. At the same time, vigorously enrich the collection and meet the needs of all aspects of society to the maximum extent. Secondly, various forms of collection are adopted to collect files of various categories and carriers. Improve the service again and enhance the initiative of using the works. According to the needs of utilization work, we strive to realize three changes. First, the service idea has changed from simple service to work service; Secondly, in the form of service, the passive service waiting for the adjustment of papers in the past has turned to multi-directional active service facing the society, giving full play to the resource and reference role of archives in serving the current work; Thirdly, the service tool has changed from a single directory retrieval in the past to gradually establishing a retrieval system with unified form, stable content and sound functions, especially developing a network system to meet the needs of using archives from different angles and aspects. At present, our school has also started the MIS system. After networking, file management is also included as a subsystem. All kinds of catalogues are input into the computer system, searched and consulted on the microcomputer, and files are viewed as needed. The use of MIS system reduces the search process of staff, saves time and provides great convenience for users. Fourth, adhere to management by objectives, mobilize the enthusiasm of archivists, and thus stimulate archivists to study business and provide quality services. There are many ways and forms for archives to serve the construction of material civilization and spiritual civilization. The key is to change ideas, forge ahead, study hard, and constantly improve service awareness, so that archives work can better serve modernization.

Fourth, some ideas for future work

We have done some work in the utilization of archives, which basically meets the needs of society. However, in the face of the wave of reform and opening up and market economy, we need to work harder to meet the needs of society.

1. We should further improve our understanding of the important role of archives utilization.

The main work of our archives is the collection, sorting and consulting of archives. With the gradual improvement of market economy and the general improvement of social informatization, people's demand for information has increased significantly. We should go out of the previous mode of thinking and provide all-round services for our school and society.

2. Broaden the idea of archives utilization and develop various forms of services.

At present, the main collections of our library are teaching, science and technology, infrastructure, finance, foreign affairs documents, publications, photos, equipment and so on. , to a certain extent, limits the use of files. In view of this situation, we take measures to increase the collection of archives, improve the collection structure, broaden our thinking, seriously study the new situation and new problems in the utilization of archives, and strive to push the utilization of archives to a new level.

In a word, file utilization is the most important work in file work. While grasping the archives work, we should also combine the development of archives with the development and construction of schools and localities, explore and master new methods and ways of archives utilization, and strive to tap the potential value of archives.
